Job Overview:
We are seeking an outgoing and organized Part-Time Vendor Coordinator to manage vendor relationships and expand our network. This in-person role at our Tampa, FL office involves identifying new vendors, reaching out via phone and email, explaining project scopes and requirements, and assisting with onboarding. As we handle emergency calls from our clients, the ideal candidate must have a strong sense of urgency and the ability to respond swiftly in fast-paced situations. Key Responsibilities: 

  • Proactively search for new trade vendors (e.g., electricians, plumbers, painters, drywall installers, restoration technicians) near client facilities across the U.S. 
  • Initiate contact with potential vendors through calls and emails, providing clear explanations of construction scopes and project requirements. 
  • Maintain strong relationships with existing vendors, ensuring consistent quality and service. 
  • Assist new vendors with onboarding processes, including documentation, certifications, and compliance requirements. 
  • Coordinate vendor schedules and collaborate with Project Managers to meet remediation and reconstruction timelines. 
  • Respond quickly and efficiently to urgent vendor needs and ensure seamless execution during emergencies. 
  • Monitor vendor performance, ensuring adherence to project standards and contracts. 
  • Maintain organized records of vendor outreach efforts, contracts, and performance reviews.

Qualifications: 

  • Experience in vendor coordination, procurement, or related fields (experience in restoration or construction is preferred). 
  • Familiarity with construction trades such as electrical, plumbing, painting, drywall installation, and restoration. 
  • Basic ability to read construction plans and general construction knowledge preferred. 
  • Excellent communication and interpersonal skills, with the ability to explain technical details clearly. 
  • Strong organizational skills and attention to detail to manage multiple vendor relationships effectively. 
  • Proficiency in Google Workspace, Microsoft Office Suite, and CRM systems. 
  • Ability to work independently and prioritize tasks to meet deadlines. 
  • Strong sense of urgency and the ability to perform under pressure in time-sensitive situations. 
  • Availability to work varying hours, based on the volume of projects, at our Kansas City office.
