Job Description

Position : Executive Assistant

Work Hours (Client) : 8 AM – 5 PM PST, with rare after-hours communication for urgent needs — we respect your personal time and only reach out when it’s truly important.

Pay Range : $1300 - $1650 USD/month (varies based on skill set and experience level)

Location of Search : Latin America and South Africa

Work Location : REMOTE

This is a great opportunity for a senior-level remote assistant who is looking for a long-term role with a serious, growth-minded organization.

 

Duties and Responsibilities:

 

Seeking a highly experienced and proactive Executive Assistant to support the company’s executive leadership. This role will be responsible for managing calendars, organizing meetings, handling communications, and executing a wide range of administrative tasks with minimal oversight. The ideal candidate is a natural problem-solver, deeply organized, tech-savvy, and comfortable working in fast-paced and often ambiguous environments.

 

This hire is either a replacement or supplement for an existing assistant currently working remotely from the Philippines. The client is evaluating stronger talent due to recurring issues with execution quality, independence, and calendar management. You’ll be supporting the executive team directly and expected to bring efficiency, clarity, and high-level administrative support to day-to-day operations.

 
  • Manage and optimize the executive’s calendar (scheduling, rescheduling, time zone awareness)
  • Coordinate meetings, internal communications, and travel arrangements as needed
  • Handle email and document management, ensuring priorities are flagged and followed up on
  • Take ownership of recurring tasks with minimal supervision
  • Identify inefficiencies and implement solutions to streamline workflows
  • Deal with ambiguity and resolve issues proactively
  • Maintain confidentiality, discretion, and professionalism at all times
  • Work closely with the executive team and internal stakeholders to ensure smooth operations
 

Minimum Requirements:

 

Language requirement: Excellent English Communication Skills (close to native accent)

Education: Bachelor's Degree (ideally)

Experience: 5+ years of related experience 

Industry: real estate, development, or commercial operations (ideal, not required)

 
  • 5+ years of experience as an Executive Assistant or in a senior administrative role supporting executives
  • Strong organizational and project management skills
  • Proactive and resourceful; thrives in a remote environment with little hand-holding
  • Proven ability to manage complex calendars and juggle competing priorities
  • Strong written and verbal communication in perfect English
  • Highly detail-oriented, with a knack for critical thinking
  • Comfortable working across different time zones; ideally available to work Pacific Time hours
  • Tech-savvy and able to quickly learn new tools (e.g., Google Workspace, Zoom, Slack, task/project management software)
 

Nice to Haves:

  • Experience supporting executives in real estate, development, or commercial operations
  • Prior work in U.S.-based businesses or with U.S. clients
  • Familiarity with remote team communication best practices
